Question 1

How far in advance should I start planning a destination wedding?

Accepted Answer

The ideal time to start planning a destination wedding is 12 to 18 months in advance . The shortest recommended timeline is around 7 months, while planning up to 2 years ahead gives you the most flexibility.  Why is planning early so important?   Destination weddings require guests to:  Request time off work  Budget for flights and accommodations  Book hotel rooms  Apply for or renew passports  More time makes it significantly easier for guests to attend.  How does timing affect availability?   Popular dates (Saturdays, peak season) book quickly  High-demand venues can sell out far in advance  “Special” dates (like 10/10 or 2/2) may book 18+ months ahead  How does this impact room blocks?   Booking early allows you to:  Lock in group rates  Secure enough rooms for your guests  Avoid resort sell-outs  Resorts typically set RSVP deadlines 100–130 days before travel , allowing unused rooms to be released without penalty.  What happens if we plan too late?   Planning within 7 months may mean:  Guests have limited time (~3 months) to RSVP  Higher travel and room costs  Reduced availability  Final guest counts are usually required 45+ days before travel .  How does the planning timeline work after booking?   Detailed wedding planning with the resort typically begins 3–4 months before travel   Some resorts may open planning earlier (up to 1 year out)  You’ll finalize:  Menu  DJ/entertainment  Décor upgrades  Event details  How does Paradise support this process?   Your Paradise Weddings specialist will:  Guide your planning timeline step-by-step  Provide resort-specific insights and pricing  Help you compare options with full transparency  Key Takeaway   Start planning at least 12 months in advance to secure the best dates, rates, and guest experience. Earlier is even better.

Question 2

What’s the first step to planning a destination wedding?

Accepted Answer

The first step to planning a destination wedding is starting the conversation with a destination wedding specialist , even if you don’t have everything figured out yet.  Do I need to have everything planned before reaching out?   No. Most couples:  Are unsure where to start  Haven’t chosen a destination yet  Are still deciding if a destination wedding is right  That’s completely normal. The first conversation is designed to guide you.    What are couples usually worried about?   Common concerns include:  Choosing the wrong resort  Overspending  Missing important details  Guest experience issues  These are exactly the areas where early guidance helps most.    What factors shape your destination wedding plan?   Your specialist helps you define:  Budget  Guest count  Preferred destination  Wedding style and aesthetic  Guest experience priorities  This ensures recommendations are tailored and not random.    Why is starting early important?   Resorts, pricing, and availability change frequently. Starting early helps you:  Access better options  Avoid sold-out dates  Make informed decisions    What mistakes should I avoid?   Trying to research everything alone  Relying only on outdated online reviews  Waiting until everything feels “perfect” before reaching out    What happens after I reach out?   Your specialist will:  Ask about your vision and priorities  Recommend resorts that match your needs  Help you compare options clearly    Key Takeaway   Start early and get expert guidance. This makes the entire planning process clearer, easier, and more confident from day one.

Question 3

How do we Choose a Resort Without Feeling Overwhelmed?

Accepted Answer

Choosing a destination wedding resort can feel overwhelming, but working with a destination wedding specialist simplifies the process and helps you make a confident decision.  Why does choosing a resort feel overwhelming?   There are hundreds of resorts, thousands of reviews, and endless opinions online. This makes it difficult to know where to start or which information to trust.  How does a wedding specialist simplify the process?   A specialist helps narrow options based on what matters most to you:  Budget  Guest count  Travel ease  Wedding style and vibe  Family-friendly vs adults-only  They provide curated recommendations—not random lists—along with clear explanations of pricing, guest experience, and fit.  Why shouldn’t we rely only on online reviews?   Large resorts host thousands of guests daily, so even minor issues can generate many negative reviews quickly.  These reviews often reflect isolated incidents, not the full wedding experience.  What makes expert guidance valuable?   Specialists have firsthand experience with resorts through site visits and real weddings. They understand:  Which resorts perform best for weddings  What each property does well (and doesn’t)  Which options match your priorities  What’s the biggest mistake to avoid?   Trying to research everything alone or relying only on online rankings instead of expert insight.  Key Takeaway   The fastest way to reduce overwhelm is to stop researching blindly and work with an expert who filters the right options for you.

Question 4

Do you help schedule site visits or virtual tours?

Accepted Answer

Yes, Paradise Weddings helps coordinate both site visits and virtual tours to make your resort selection process easier and more confident.    What are virtual tours and how do they help?  Some resorts offer 3D virtual tours that allow you to explore the property online. These give you a clear sense of layout, ceremony locations, reception spaces, and overall atmosphere.  In addition, Paradise Weddings provides curated video tours of many popular resorts, offering a more realistic view than standard marketing photos.    Can you help schedule an in-person site visit?  Yes. Paradise Weddings can connect you directly with the resort’s wedding team to arrange a site inspection.  Site visits are free but require advance scheduling  Typically available on weekdays during business hours   Best practice is to plan at least 3–4 weeks in advance   You should confirm appointments before booking flights or time off     How do we coordinate multiple resort visits?  Planning multiple visits in one trip requires careful logistics:  Resorts may be far apart , especially in destinations like Riviera Maya  Transportation costs (taxis) can add up quickly  Renting a car can be a practical option if you’re comfortable driving  Uber may be available in some areas, but not always reliable  Paradise Weddings helps you map out a realistic and efficient schedule.    What mistakes should we avoid when planning visits?  Common mistakes include:  Trying to visit too many resorts in one trip   Not factoring in travel time between properties   Showing up without an appointment   Booking travel before confirming availability   These can lead to stress and limit how effectively you evaluate each resort.    Key Takeaway  Use a mix of virtual tours and carefully planned site visits. Paradise Weddings helps you focus on the right resorts and coordinate everything efficiently.

Question 5

Will I work with the same planner the whole time?

Accepted Answer

You won’t rely on just one planner. You’ll have a full team supporting you throughout the entire process , both from the resort and Paradise Weddings.  Why don’t I have just one planner?   Having a team ensures:  Continuous support if someone is unavailable  No gaps in communication  Better coverage across planning and travel  Your wedding is too important to depend on a single point of contact.    Who handles planning on the resort side?   Resorts typically assign multiple contacts:  Early planning contact: Helps with logistics, timelines, and general coordination  Wedding planner (3–4 months before travel): Finalizes décor, timeline, and event details  On-site coordinator(s): Executes your wedding day    Who supports me from Paradise Weddings?   You’ll work with a structured team:  Wedding Specialist:   Helps you choose your resort, compare options, and plan overall strategy  In-Travel Coordinator:   Manages guest bookings, questions, payments, and travel logistics  Ongoing Team Support:   Additional team members assist as needed, especially closer to travel    Will my original specialist stay involved?   Yes. Your wedding specialist remains involved behind the scenes to:  Oversee progress  Support key decisions  Step in if needed    Who handles guest travel and reservations?   Your in-travel coordinator:  Manages room bookings  Answers guest questions  Sends reminders and deadlines  Assists with airport transfers and logistics  This removes a major burden from you.    What happens if someone on the team is unavailable?   Because you’re supported by a team:  Another team member can step in immediately  Your planning continues without disruption  No details are lost or delayed    What are couples usually worried about?   Common concerns include:  Not getting enough attention  Being passed around between people  Miscommunication  A team-based system prevents these issues by keeping everything organized and covered.    Key Takeaway   You’re supported by a dedicated team, not just one planner, ensuring consistent communication, backup, and a smoother planning experience from start to finish.

Question 6

How Involved do I Have to be in Planning a Destination Wedding?

Accepted Answer

You can be as involved or hands-off as you want when planning a destination wedding. The process is typically split between wedding planning and guest travel management , both of which can be supported by experts.    What parts of planning are involved?   There are two main areas:  Wedding details (ceremony, décor, vendors, timeline)  Guest travel (rooms, flights, transfers, communication)  Both require coordination, but you don’t have to manage them alone.    Who handles the wedding details?   The resort’s wedding team manages your event logistics  They coordinate vendors like florists, DJs, and décor providers  Some resorts offer all-inclusive packages with minimal decisions  Others require more direct vendor coordination    How does resort choice affect my involvement?   Some resorts are highly structured and hands-off   Others are more custom and hands-on   Your Paradise Weddings specialist will guide you toward options that match your preferred level of involvement.    What about managing guest travel?   Guest travel is often the most time-consuming part, including:  Answering guest questions  Managing bookings and payments  Coordinating airport transfers  Keeping track of deadlines    How does Paradise Weddings help?   Paradise Weddings supports you by:  Managing guest reservations and questions  Coordinating payment plans and travel logistics  Providing a wedding website and communication tools  Acting as a point of contact for your guests  This allows you to focus on the creative and enjoyable parts of planning.    Can I get additional help if I want to be hands-off?   Yes. You can hire an external wedding planner for an additional cost if you want someone to fully manage vendor communication and coordination.    What mistakes should I avoid?   Assuming you have to manage everything yourself  Underestimating how time-consuming guest travel can be  Choosing a resort that doesn’t match your preferred planning style    Key Takeaway   You don’t have to do everything yourself. Your level of involvement depends on your preferences, your resort, and the support team you choose.

Question 7

Do you coordinate directly with the resort’s wedding team?

Accepted Answer

Yes, Paradise coordinates directly with the resort’s wedding team throughout the planning process.  The resort’s wedding department manages your ceremony date, reception details, menus, setup, and execution of your wedding day. They are your on-site team.  Paradise works alongside them to simplify the process, helping with availability checks, venue comparisons, and explaining packages so you can make confident decisions.  The resort wedding team handles:  Ceremony and reception logistics  Menu planning and event setup  On-site coordination and execution  Paradise supports by:  Checking availability and venue options  Explaining package details and inclusions  Assisting with communication and follow-ups  You can copy Paradise on emails with the resort so we can step in when needed.  Resorts often manage large volumes of guests, so response times may vary. Paradise can escalate or follow up through internal contacts.  Room reservations are handled separately by the resort’s group sales team. Paradise manages:  Group rates  Room block contracts  Perks like upgrades, credits, or complimentary stays    Key Takeaway   Paradise acts as your advocate, bridging communication between you and multiple resort departments to keep planning smooth and stress-free.

Question 8

What happens after I fill out the contact form?

Accepted Answer

After you fill out the contact form, a Paradise Weddings specialist will reach out to schedule a phone or video call to learn more about your wedding vision, preferences, and priorities.  What is the first step after submitting the form?   The process begins with a consultation call , where your specialist will:  Learn about your wedding vision and style  Discuss budget and guest expectations  Understand your preferred destinations and travel needs    Do I need to have everything figured out before the call?   No. Most couples don’t have all the details yet, and that’s completely fine.  The call is designed to:  Guide you through key decisions  Help you understand what matters most  Bring up important factors you may not have considered    Why is a call important instead of just email?   Destination weddings involve many moving parts, including:  Guest count and travel logistics  Budget and timing  Resort options and availability  A call helps clarify these quickly and avoids wasting time on options that aren’t the right fit.    What happens after the initial consultation?   After your call, your specialist will:  Recommend resorts tailored to your needs  Help you compare options side-by-side  Guide you through pricing, availability, and next steps    What mistakes should I avoid at this stage?   Trying to figure everything out on your own first  Thinking you need all the answers before reaching out  Relying only on online research without expert guidance    How long does support last?   From your first inquiry to after your wedding week, Paradise Weddings supports you throughout the entire process, including guest travel and coordination.    Key Takeaway   You don’t need to have everything planned. Your first call is where clarity begins, and expert guidance helps you move forward with confidence.

Question 9

Should I hire an external wedding planner too?

Accepted Answer

Hiring an external wedding planner is optional, but can be helpful if you want a single point of contact managing all details.  An external planner can:  Manage internal and external vendor communication. Coordinate timelines and details. Act as your advocate throughout planning. However, many couples rely solely on the resort team and the wedding specialist's support.    Key Takeaway   You don’t need an external planner, but it can add convenience if you want a fully hands-off experience.

Question 10

Should we avoid booking during hurricane season?

Accepted Answer

Not necessarily. Hurricane season can still be a good option if you plan with flexibility and understand the trade-offs.  Advantages:  Lower pricing for rooms and wedding packages  Greater availability of venues and dates  Considerations:  Increased chance of rain or disruptions  Need for backup plans and flexibility  Because hurricanes are trackable, you often have advance notice to adjust plans if needed.  Key Takeaway:   Hurricane season offers value, but flexibility and preparation are essential.

Question 11

What happens if a hurricane affects our wedding plans?

Accepted Answer

If a hurricane impacts your wedding, resorts typically offer flexibility such as rescheduling, canceling, or adjusting plans depending on timing. If the hurricane affects travel before arrival:  Weddings may be postponed to a later date  Some resorts may allow cancellations based on policies  If you are already on-site:  You usually have a few days’ notice to decide next steps  You may choose to return home early  Or remain at the resort and follow safety protocols  Resorts prioritize safety and will guide all decisions during the situation.  Key Takeaway:   You’ll have time and options: reschedule, leave early, or stay safely on-site depending on the situation.

Question 12

What should we know about hurricane season?

Accepted Answer

The hurricane season runs from June through mid-to-late November across most destination wedding locations, but resorts are well-prepared and risks are manageable. Popular destinations like Cancun, Los Cabos, Puerto Vallarta, Punta Cana, and Jamaica all follow a similar seasonal pattern.  Key insights:   Hurricanes can be tracked days in advance, giving time to prepare  Resorts actively monitor weather systems and issue alerts  Staff follow established emergency protocols  At the resort level:   Buildings are designed to withstand storms  Guests may remain in their rooms during minor storms  For stronger hurricanes, guests are moved to secure areas like ballrooms or theaters  In rare cases, relocation away from the beachfront may occur  It’s important to note that comfort levels may change during a storm:  Possible power outages  Limited food service options  Restricted movement around the resort  However, staff remain on-site to assist guests at all times.  Key Takeaway:   Hurricanes are predictable and resorts are fully prepared, giving you time to adjust plans and stay safe.

Question 13

Do I need to prepare anything before the first call?

Accepted Answer

No preparation is required before your first call, but having a general idea of your preferences can be helpful.  Helpful (but not required) details include:  Estimated guest count  Budget range  Preferred travel dates or season  General destination ideas  Your specialist will guide you through everything during the call.    Key Takeaway   You don’t need all the answers. Just show up, and your specialist will guide the rest.

Question 15

Why should I speak to a specialist instead of researching online?

Accepted Answer

A destination wedding specialist helps you cut through overwhelming options and find the best fit faster based on your specific needs.  Online research can be misleading because:  Reviews don’t always reflect wedding experiences  Pricing and perks vary by group and timing  Not all resorts are equal for weddings  A specialist provides:  Personalized recommendations  Clear comparisons between resorts  Insight into real guest and wedding experiences    Key Takeaway   Expert guidance saves time, reduces overwhelm, and helps you make confident decisions.

Question 16

Do I really need a destination wedding specialist?

Accepted Answer

While not required, working with a specialist significantly reduces stress and helps you avoid costly mistakes.  We assist with:  Contracts and negotiations  Room blocks and guest travel  Resort comparisons and logistics  Ongoing coordination  Key Takeaway   Expert support simplifies planning and helps you make better decisions with less stress.

Question 17

Should I use a promo code instead of a room block?

Accepted Answer

Promo codes may seem flexible, but they do not hold rooms or guarantee pricing, making them a risk for most destination weddings.  With promo codes:  Availability is not guaranteed  Prices fluctuate  Guests may miss out on rooms  Room blocks provide stability and protection.    Key Takeaway   Room blocks are the safer, more reliable option for group weddings.

Question 18

What is a room block and why is it important?

Accepted Answer

A room block is a group reservation that holds a set number of rooms at a fixed rate for your wedding guests.   It ensures:  Rooms are reserved for your group Pricing is protected from increases  Guests aren’t forced into higher-priced categories    Key Takeaway   A room block protects both your guests’ experience and your overall wedding plan.

Question 19

What’s the biggest mistake couples make when planning a destination wedding?

Accepted Answer

One of the biggest mistakes couples make is not securing their room block and wedding date at the same time .  Why is this such a big mistake?   Resorts can sell out quickly due to:  Large weddings or group events  Corporate retreats  Peak travel seasons  If you lock in your wedding date but delay your room block, you risk:  Losing room availability  Higher guest pricing  Limited room category options    What does a room block actually protect?   A room block:  Holds rooms specifically for your group  Locks in better rates  Ensures guests have access to affordable room categories  Helps stabilize your wedding plans    Are promo codes a good alternative to room blocks?   Some resorts offer promo codes instead of room blocks, but they come with risks:  No rooms are held for your group  Prices can increase anytime  Availability can disappear without warning  This makes promo codes risky, especially for groups over 10 guests.    Is the room block deposit a lost cost?   No. In most cases:  The deposit is applied toward your stay  or   Refunded based on contract terms  You are essentially fronting the deposit for your guests.    What other common mistakes should I avoid?   1. Sending save-the-dates too early   Announcing your date before securing the resort can lead to availability issues.  2. Waiting too long to secure your booking   Delays can mean losing ideal dates, pricing, or room availability.  3. Trying to plan everything alone   Destination weddings involve contracts, logistics, and guest travel coordination.    Key Takeaway   Secure your wedding date and room block together . This protects your pricing, availability, and guest experience from the start.

Question 20

When should I send save-the-dates for a destination wedding?

Accepted Answer

You should only send save-the-dates after securing your resort and room block .  Sending them too early can:  Lock you into an unavailable date  Confuse guests if plans change  Create unnecessary stress    Key Takeaway   Secure your venue first, then confidently share your date with guests.

Question 21

Can guests transfer their bookings to a new resort?

Accepted Answer

In many cases, guest bookings can be adjusted or transferred, but it depends on timing, availability, and the resort’s policies.  Early-stage bookings are easier to adjust  Later-stage changes may involve fees or limitations  Coordination is required to move reservations smoothly  Your specialist will help manage this process.  Key Takeaway   Guest booking transfers are often possible, but acting early makes it much easier.

Question 22

How Much Does a Destination Wedding Actually Cost?

Accepted Answer

Selecting an affordable resort helps maximize attendance.

Question 26

Are flights included in the wedding packages?

Question 28

How Do Payment Plans and Deposits Work for Destination Weddings?

Accepted Answer
